Employee ID Cards

Full-Time Faculty/Staff (Type 1)
Full-Time Faculty/Staff (Type 1) are eligible for an ID card after the official appointment start date. Full-Time Faculty/Staff ID cards provide access to all Rutgers University Libraries, computer labs, RU Express accounts, and recreation facilities.

Full-Time Faculty/Staff ID Cards cannot be issued:

 

  • Before your appointment start date (as stated in your appointment letter or payroll authorization form).
  • Prior to receiving your first official University paycheck.
  • When using temporary payroll ID numbers (i.e., 999-00-XXXX)

    New Employee Orientation

        If you attend the New Employee Welcome and Benefits Orientation through University Human Resources, you will have an opportunity to have your RUconnection Card issued during the program. The hiring manager in your department who enrolled you in the program will provide necessary information to University Human Resources regarding the issuing of your card.

    Employee Information for Type 1 Employees (regular salaried)

        A Faculty/Staff RUconnection Card can be issued anytime after you receive your first regular paycheck (nonadvance). You must have a valid, permanent Social Security Number to have an ID card issued. If you are not yet in the payroll system, you may use the

    ID Card Request Form [PDF]

      to obtain an RUconnection Card.

NOTE: Once employees receive their first University paycheck, the Visiting Scholar/Guest card can be traded in for a Type 1 Faculty/Staff ID card.

Full-Time Faculty/Staff RUconnection Cards may be obtained:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • There is no fee for the first issue of the card.

Renewal/update of a Full-Time Faculty/Staff RUconnection Card may be obtained:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • With exchange of your current/expired RUconnection Card.
  • A $20 replacement fee applies if current/expired card is not returned (See Lost/Replacement ID Cards below).
  • The card will be issued immediately.

 

 

 

Hourly & Casual Staff (Type 4)
Hourly Staff (Type 4) are eligible for an Faculty/Staff ID Card, only upon authorization from your department head. Hourly Staff ID cards provide access to Rutgers University libraries, computer labs, building access, and RU Express accounts, but not recreation facilities. Recreation facility access may be granted by the facility and may require the payment of a fee.

The Hourly Staff ID Card cannot be issued:

 

  • Before your appointment start date (as stated in your appointment letter or payroll authorization form).
  • Before you begin performing your duties.
  • When using temporary payroll ID numbers (i.e., 999-00-XXXX).

Obtain an Hourly Staff RUconnection Card:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With a completed ID Card Request Form [PDF] with the mandatory signature of the head of the sponsoring department.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • There is no fee for the first issue of the card.
  • The card will be issued immediately and is valid for up to one year.

Renew an Hourly Staff RUconnection Card:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With an updated ID Card Request Form [PDF] with the mandatory signature of the head of the sponsoring department.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • With exchange of your current/expired RUconnection Card.
  • A $20 replacement fee applies if current/expired card is not returned (See Lost/Replacement ID Cards below).
  • The card will be issued immediately and is valid for up to one year.

 

 

 

Student Employees (Type 5,6)

Rutgers Student Employees (Type 5)
Students enrolled in classes at Rutgers University, and who are also employees, will be issued a Student RUconnection Card. Student Employees are not eligible to receive a Faculty/Staff ID Card.

Rutgers Teaching and Graduate Assistants (Type 6)
TA's and GA's will be issued a Student RUconnection Card. TA/GA students are not eligible to receive a Faculty/Staff ID Card.

Type 6 RUconnection Cards cannot be issued:

 

  • Before your appointment start date (as stated in the appointment letter)
  • Before you begin performing your duties.
  • When using temporary Payroll ID numbers (i.e. 999-00-XXXX).
  • If you are registered for classes at Rutgers.

Individuals who are not yet in the payroll system can receive a RUconnection Card upon request from their department head if library borrowing privileges or computer lab access is necessary to perform job duties before recognized eligibility.

Obtain a Type 6 RUconnection Card:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With a completed ID Card Request Form [PDF] with the mandatory signature of the head of the employing department.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • There is no charge for the first issue of this card.
  • The card will be issued immediately and is valid until your employment end date.

Renew a Type 6 RUconnection Card:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With an updated ID Card Request Form [PDF] with the mandatory signature of the head of the employing department.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • With return or your current/expired RUconnection Card.
  • A $20 replacement fee applies if current/expired card is not returned (See Lost/Replacement ID Cards below).
  • The card will be issued immediately.

 

Part-Time Faculty (Type 7,8)

 

Part-Time Coadjutant Faculty (Type 8)
Part-Time Coadjutant Faculty (Type 8) are not eligible for a Faculty/Staff RUconnection Card. You may be sponsored as a Visiting Scholar by a department head if library or computer lab access is necessary to perform job duties.

Part-Time Lecturers (Type 7)
Part-Time Lecturers (Type 7) are eligible for an RUconnection Card anytime after your appointment start date. Part-Time Lecturers RUconnection Cards provide access to Rutgers University libraries, computer labs, and RU Express accounts, but not recreation facilities. Recreation facility access may be granted by the facility and may require a fee.

Students who are also Part-Time Lecturers will be issued a Student RUconnection Card.

Part-Time Lecturer RUconnection Cards cannot be issued:

 

  • Before your appointment start date (as stated in the appointment letter).
  • Prior to receiving your first official University paycheck.
  • After the last day of classes of your appointed semester.
  • When using temporary payroll ID numbers (i.e. 999-00-XXXX).

NOTE: Part-Time Lecturers who are not yet in the payroll system will be issued a Visiting Scholar/Guest ID card upon request from their department head by submitting an ID Card Request Form [PDF].

Once employees receive their first University paycheck, the Visiting Scholar/Guest card can be traded in for a Type 1 Faculty/Staff ID card.

Obtain for the first time or renew a Part-Time Lecturer RUconnection Card:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • By submitting a completed ID Card Request Form [PDF] with the mandatory signature of the head of the sponsoring department, if not on payroll.
  • A $20 replacement fee applies if current/expired card is not returned (See Lost/Replacement ID Cards).
  • There is no charge for the first issue of this card.
  • The card will be issued immediately and is valid for one academic year.

 

Post Doc Fellows (Type 9)

 

A Post Doc Fellow (Type 9) is eligible for an RUconnection Card any time after appointment start date. Graduate Fellows can be issued a Student RUconnection Card upon course registration; they are not eligible to receive a Type 9 RUconnection Card. Other Type 9 employees may be sponsored as a Visiting Scholar.

Post Doc Fellow RUconnection Cards provide access to Rutgers University libraries, computer labs, and RU Express accounts, but not recreation facilities. Recreation facility access may be granted by the facility and may require a fee.

Post Doc Fellow RUconnection Cards cannot be issued:

 

  • Before your appointment start date (as stated in the appointment letter).
  • Before you begin performing your duties.
  • When using temporary payroll ID numbers (i.e., 999-00-XXXX).

  • There is no charge for the first issue of this card.

Renew a Post Doc Fellow RUconnection Card:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • With return of your current/expired RUconnection Card.
  • A $20 replacement fee applies if current/expired card is not returned (See Lost/Replacement ID Cards below).
  • The card will be issued immediately.

 

Retirees

 

Upon retirement, Retirees will receive a letter from University Human Resources (UHR) explaining how to get a Retiree RUconnection Card. Retiree RUconnection Cards cannot be issued prior to receipt of this letter, nor can we accept a letter from the head of your former department in lieu of this letter. Retiree RUconnection Cards provide access to libraries and recreation facilities.

Obtain a Retiree RUconnection Card:

 

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • Present the letter from UHR.
  • Bring a valid government-issued photo ID such as a driver's license or passport.
  • There is no charge for the first issue of this card.
  • Return your former Faculty/Staff RUconnection Card.
  • A $20.00 replacement fee applies if former Faculty/Staff RUconnection Card is not returned (See Lost/Replacement ID Cards).
  • The card will be issued immediately.

 

If you no longer have the letter or retired prior to 1999, you can request a new letter from University Human Resources (UHR) by calling 732.932.3020 x4052.

If you have the older "green" retiree ID card, you can exchange it with a valid government-issued photo ID at any RUconnection Card office.

 

Visiting Scholars/Guests

 

A Visiting Scholar/Guest, sponsored by the department head, is eligible for a RUconnection Card to access the Rutgers University libraries and computer labs. The card with Visiting Scholar/Guest status does not grant access to recreation facilities.

NOTE: A Visiting Scholar/Guest card also serves as a temporary ID card for Full-Time Faculty/Staff that are not yet recognized in the University payroll system.

Obtain a Visiting Scholar/Guest RUconnection Card:

 

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With a completed ID Card Request Form [PDF] with the mandatory signature of the head of the sponsoring department.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • A $5.00 fee applies for a Visiting Scholar/Guest ID card.
  • The card will be issued immediately and is valid for up to one year.

Renew a Visiting Scholar/Guest RUconnection Card:

  • At the IMPACT Booth in the main lobby of the Campus Center.
  • With an updated ID Card Request Form [PDF] with the mandatory signature of the head of the sponsoring department.
  • With a valid government-issued photo ID such as a driver's license or passport.
  • A $5.00 fee applies for a visiting scholar/guest ID card.
  • With return of your current/expired Visiting Scholars ID Card.
  • A $20.00 replacement fee applies if former Faculty/Staff RUconnection Card is not returned (See Lost/Replacement ID cards below).

 

RU Express

 

RU Express is a cash-free alternative that works like a debit card. When making a purchase at any participating location, simply swipe your RUconnection ID card through the reader and the appropriate funds will be electronically deducted from your personal RU Express account. Your remaining balance is displayed each time you use your card, and deposits may be added to your account anytime throughout the semester with a Visa or Mastercard. RU Express is quick, convenient, safe and hassle-free. Balances roll over from year to year, and RU Express accounts may be used year-round. For more information, visit the RU Express website.

Creating/Managing Your RU Express Account
To create a new account or to add funds to an existing account, contact the Camden Bursar's office at 856.225.6021 or manage your RU Express account online.

 

Lost/Replacement ID Cards

 

You must be currently registered/employed and present a valid government-issued form of photo ID (driver's license, passport, etc.) to pick up your lost RUconnection Card, or to have it reissued or replaced.

Lost/Stolen Cards
To report a card lost or stolen, immediately log into RU Express Online and suspend your card so no one else can access your accounts or services. You can reactivate your card via the same website should you find it before having it replaced.

Second, check your Rutgers email. If your RUconnection Card is found and returned to one of our offices, a notification will be sent to your main Rutgers email address. You must come to the office that is holding your card with a government-issued photo ID (driver's license or passport) to retrieve it. There is no fee to retrieve your card. Please note that we cannot refund the fee for replacement cards already issued.

If you find a lost RUconnection Card, please return it to the IMPACT Booth or mail the card to Rutgers University, IMPACT Booth, Camden Campus Center, 326 Penn Street, Camden, NJ 08102. The IMPACT Booth can also be reached at ruimpact@camden.rutgers.edu or 856.225.6161.

Damaged Cards
RUconnection Cards worn or damaged due to normal use are reprinted and replaced free of charge upon the presentation of ALL pieces of the old card. Assessment of damage will be at the sole discretion of the IMPACT Booth. If damage appears intentional, or if all pieces are not surrendered, a $20 replacement fee will apply.

Punching of holes (for lanyard, keychain, etc.) on the RUconnection Card is strictly prohibited. The reissuing of such cards is subject to the $20 replacement fee.

Name/Status Change
Your RUconnection Card will be reissued due to a legal name change or a change in your status (new department, change of schools or class year, change of employment status, etc.), at no charge. Visit any RUconnection Card Office to exchange your old card for an updated one. Data changes must be in effect in the registrar or payroll system at the time of issuance. All replacement cards are issued with existing system data and photos.

ID Card Replacement with Fee Payment
You may pay the ID replacement fee at the IMPACT Booth in the lobby of the Campus Center.

Individuals who pay a replacement fee for a new ID card will have an opportunity to take a new photo, providing that they also present a government-issued photo ID. Otherwise, the ID Card will be reissued with the existing photo on file.

 

 

 

Important Disclaimers - Please Read
All RUconnection Cards are official government-issued identification cards and remain the property of Rutgers University, regardless of any replacement fees paid. Rutgers University reserves the right to confiscate and destroy all inactive cards.

The type of ID Card issued is dependent on your primary role at the university. You are permitted to have only one active RUconnection Card at any time.

Replacement cards will not be issued without another form of photo identification. If your wallet was lost or stolen, you may need to replace other forms of ID, such as your driver's license, before being able to obtain a replacement ID Card.

All previously issued ID Cards will be rendered inactive and will not be reactivated under any circumstances. Reissuing lost replacement cards requires the payment of additional replacement fees.

Please note a government-issued photo ID is required. Acceptable government IDs include a driver's license, passport, state/county/military ID*, birth certificate, and a Social Security card.

 

*We may request a secondary ID

RUconnection Cards are non-transferable, and remain the property of Rutgers University regardless of any replacement fees paid. We reserve the right to confiscate and destroy all fraudulently used, or inactive cards. Reactivation or reissue of confiscated ID cards are subject to the current ID replacement fee. You may also be subject to institutional sanctions or criminal penalties.

Falsifying information in order to obtain an RUconnection Card is identity fraud and may subject you to prosecution to the full extent of the law.
